A holiday notice letter is used as a formal notice to inform one’s boss about the actual dates of his holidays. This is usually written after informing the boss unofficially about his tentative holiday plans before-hand. He informs the name of the colleague/coworker who will manage jobs on his behalf during his absence and also leaves his contact details in case of urgent need or emergency.
Here are some useful tips for writing a holiday notice letter:
- Begin by writing that you had already asked for permission to go on holiday informally beforehand.
- Mention that after confirming your plans, you are using this letter as a holiday notice and request for leave.
- Specify duration of leave and name of the colleague who will handle your work responsibilities in your absence.
- Furnish contact details for any urgent requirement and mention your date of joining back work.

Date: _____ (Date on Which Letter is Written)
Subject: Holiday Notice
I had already informed you verbally last week that I planned to go on a holiday with my family for ten days to Singapore before his year end. I was waiting for the confirmation of tickets and accommodation to make a formal request for leave and submit this letter as an official holiday notice.
I request you to grant me leave from 21September to 01October 2013 to go ahead with my long-awaited holiday as per my leave-plan which I submitted in the beginning of the year. I will brief and hand over my work-related responsibilities to my colleague, Mark. You can contact him for any queries concerning my project in my absence. I have also handed him the presentation of our team’s performance in this quarter.
Although there is no pressing work-schedule during the period that I have planned my holiday, you can contact me on my telephone- 435678993 or mail me at frank @check.in in case of any urgent requirement or emergency. I will be joining back office from 02October2013.
