This type of letter is written when a person is unable to join a firm after he gets selected to work for that company. This letter is addressed to the company which has chosen the candidate. Still, due to specific issues or problems, the candidate won’t be able to join the company; hence he/she writes an apology letter to the company. The letter should be addressed to the head of the recruiting department stating the reason behind not joining the company. The candidate writes this apology letter to the manager of the company stating or rather justifying the reason for not joining the firm as an employee.

As the agenda here is professional, the person must write the letter in professional terms. Also, the reason should be strong so that the manager is convinced. As the relation between writer and receiver is formal, the language used by the writer should have to be professional.
