Holiday Letter

A holiday letter is written to ask for permission to proceed on holiday. This is written by an employee in an organization or by a parent on behalf of their ward. Such a letter serves the dual purpose of intimating the employer that the employee would be unavailable in the mentioned period thus allowing for the smooth temporary transition and it also allows for the granting of paid leave to the employee so that her/his salary is not deducted in her/his absence.

The letter should mention the duration of absence and tentative date of joining back. It should be concise, brief, short and preferably written in a formal tone. Since holidays are planned for a long duration, an employee should post this letter well in advance so that the boss can make alternate arrangements for the individual’s absence. Holiday letters are often requested letters for holiday leave than a letter of intimation. Therefore the tone of the letter needs to be taken into special account.

Holiday Letter Writing Tips

  • Begin by asking permission to proceed on holiday while specifying the duration and dates of your holiday plan.
  • Briefly state reasons for asking leave if possible.
  • Nominate a co-worker who will handle your work during your holiday period.
  • End by furnishing your contact details during the holiday and request again for approval of your holiday plan.
  • Use a tone of the request while asking for permission in a very polite manner.
