Leave letter basically, an application written by a person who is unable to perform his duties for a specific period, stating which he is to ask for leave for the required period. Leave letters are mainly written by a student of an institution or by an employee of an organization to officially inform about his absence. It is important to draft a leave letter in a strictly professional manner. One must be clear about the point that he/she wants to specify, stating/giving adequate proof for the same. Important details like the reason for absence (other than personal reasons) and how long one shall be absent, should be clearly and distinctly mentioned.

If you are writing the letter as an employee, then it is obligatory to mention the reason behind such a decision. While drafting a letter, focus on the information. Understand one thing that while writing a leave letter you should thank the organization/school/college in advance, for granting you the leave.

Leave Letter Writing

  • First and foremost it is vital to be polite and sincere in writing a leave letter. Be honest about what you put forth in the letter.
  • The letter should be brief and to the point.
  • You must clearly state the reason behind your leave.
  • Tone and content of the letter should be formal.
  • You must express gratitude, in advance to the concerned person.
  • Once you are through writing the letter, remember to recheck the same for corrections.

Subject: Requesting for leave

Dear Mr. Samuel,

Doctors have detected a cyst in her uterus, and she needs to undergo a minor surgery, at the earliest. My parents live out of town, and there is nobody to take care of her at this point in time. Therefore, I would like to take leave from the office and look after my wife pre and post surgery until she recovers.

She will be undergoing surgery on 23rd September, and after the surgery, she has been recommended bed rest for two weeks. I hope you understand my situation and grant me leave for three weeks starting on 22nd September. During my absence, Ms. Lucy will be taking care of my clients, and you will be duly updated with every progress.
