Holiday Letter Format

A holiday letter is written to obtain permission for absence from work for a specified time period based on certain commitments in the near future. Since most holidays are planned in advance except in emergencies, a holiday letter is mostly written in anticipation of leave. The applicant is expected to handover his/her duties to another coworker and complete his/her tasks or as required by the organization.

Here are some useful tips for writing a holiday letter:

  1. Begin by requesting permission to proceed on holidays. Specify the duration and dates and furnish reasons for the plan.
  2. Mention that you have no work slated for the holiday period or that you will complete all tasks.
  3. Mention name of colleague who will handle your duties and responsibilities till your return.
  4. End by furnishing contact details; mention your date of joining back work and request for leave again.

Dear Mr. George,

I am writing this letter to ask your permission to avail holidays for four weeks from    06 April to 03May2013 since I have finally obtained sponsorship for my advent of Mount Kilimanjaro in Himalayas after two years.

Although my name has been included in the eleventh hour and have little time for gearing up physically and mentally, I do not want to miss this lifetime opportunity.

I have no pressing work commitment during the said period. However, I will complete all assigned tasks before departure and brief my colleague Stalin about my duties and responsibilities so that he can handle my work till my return.

Since I will be inaccessible over phone during the climb, I will call as and when possible to clarify queries if any. I will return to work from 04May2013.
