An employment contract is a formal letter written by an employer to his employee discussing the details of the contract that has been signed by the employee as a part of his joining the company. Employment contract letters are short and concise, and discuss only the details of the employee’s job and position. These letters are usually written with the intent of clarifying any doubts that the employee might have as well as informing him of any additional information about the work he has to do.

Employment Contract Letter Writing Tips:

  • Always be extremely clear with the details that you want to convey. There should be no confusion. The recipient should not be confused with the various things that are mentioned in the letter.
  • Always congratulate the person for being the chosen applicant. This establishes a positive footing and a good note for the person to start his job on.
  • Mention in your contract things like starting date, payroll, incentives, work ethics, upcoming events, conferences, department relations and reputations.
  • Also give the individual a very brief but easy-to-understand overall idea of how the company functions, how it focuses on its work and how it achieves its goals.
  • Establish all this and then end the letter. Do not elongate the letter in any way. Keep it short and sweet.

With reference to your interview you had with us dated. 27/08/2010, we are pleased to offer you employment in our organization as a Customer Service Executive in CSD (Customer Service Department).

Your annual total cost to company will be of Rs. 1, 15,000/- (Rupees One lac and fifteen thousand only) the detailed breakup of the same is enclosed herewith Annexure –I. You will be on a probation period of Six months from the date of appointment. During this period, your services can be terminated without notice or without assigning any reason. Your probation period may be extended at the management’s discretion in the event of your performance / conduct is below acceptable standards. After the probationary period, your services can be terminated on giving one month’s notice in writing from either side or upon payment of one month’s notice pay in lieu thereof.
