Employment Rejection Letter

An employment rejection letter is a formal letter written by a Human Resources representative or official to someone who has applied for a position in one of the departments and failed to get the job. Such letters primarily express regret that the person couldn’t qualify for the job. The letters also wish the person all the best for his future endeavors. Such letters have to be written carefully as they have to let the individual down gently without hurting her/him. The aim of the letter is to make it clear to the individual that what he had was currently not what the company was looking for, and therefore, the job had to be given to somebody else.

Such a letter needs to be written with utmost care making sure that the message is conveyed without the applicant being hurt too much, as it may bring down their morale. A letter of this kind is a harsh necessity and often need to be despatched. The writer of the letter also needs to make sure that he remembers to encourage the applicant to try again after gaining the required experience.

Employment Rejection Letter Writing Tips

  • Always be extremely courteous. The person is going to be unhappy as it is that he didn’t secure the job he had applied for.
  • Be sensitive in your approach to ensure you don’t hurt the person’s sentiments.
  • Clarify that the person’s credentials were impressive and good but that they weren’t what you were looking for right now.
  • End the letter with a short paragraph of encouragement and best wishes.
