A job offer letter is a formal written letter sent by an employer to a job candidate selected for the position. An offer letter is a letter written to typically offer a job position or offer to someone who has previously applied for the same. Offer letters are written by the Human Resources or Recruitment departments of companies, and sent to those who they think will be apt for a particular position in the company or organization. Offer letters primarily express congratulations to the receiver and inform him/her of their acceptance for the position. Some offer letters will also disclose details of the position or invite the interviewee to a meeting to discuss the same.

The offer should be friendly and upbeat. The candidate has been successful in the selection process and you want to instill confidence that you believe they are the right person for the role and that you are offering an exciting role and opportunity in a professional organization. Offer letter is given to the people who have cleared all the selection rounds and are finally selected for that particular job. Offer letter contains their designation, Salary structure, rules and regulations of the organization etc.

Offer Letter Template Writing Tips

  • Offer letters are always written in a positive and warm tone. They congratulate the receiver and praise the relevant skills that have gotten him/her the job.
  • The letters then inform the receiver of the details of when to start, how to work.
  • The letters may also throw some light on a particular ethic or a work requirement that the receiver is particularly required to fulfill.
  • Offer letters end on a positive note, expressing hope that the receiver will accept the offer and join the company/organization.
  • Offer letters differ greatly according to the position being offered. The details that are discussed in the letter have to give the receiver an idea as to how he is expected to function, or about how his presence in the company will make the desired impact.
  • Offer letters can also mention tie-ups, conferences, and other programs that might serve as an incentive for the receiver to join.
