Decline Letter Donation

Last Updated On September 10, 2018 By Letter Writing Leave a Comment

A Donation Decline Letter is a reply letter on personal request. This letter is evidence that the sender of the letter has considered our request mentioned in the prior conversation and considered the subject as a matter of donation but has decided against the same. Since a Donation Decline Letter is declining the offer of extending help it needs to be in a humble tone and in a polite manner rather than in a manner that may be deemed unnecessarily rude by the receiver of the letter.

Along with a humble tone, the sender of such a letter needs to ensure that the reason for declining the request for donation has been mentioned and made politely clear in the body of the letter. The writer may quote any reason from the then current fiscal deficiency to a recent donation to the related field of operation. The reason needs to be true to ensure that the receiver understands the thought behind the declining.

Tips To Write A Donation Decline Letter

  • Make sure the letter is short and to the point.
  • State cleary your defense of rejection and it is your wish if you want to mention the reason.

Subject: Regretting to inform our unavailability

Dear (name),

This is in reference with your letter dated (date) from your organization regarding the donation. First let me congratulate you for the wonderful work your organization has taken up. I was really impressed to read that your foundation has under taken to help those affected in the recent floods, and you provide food, clothes, and books to the needy.

It’s with great regret that I decline to donate anything to the organization at this time. Believe me, I am really feeling bad at this time declining your request for donation as I had already donated to another organization who approached prior to you. They are also into a good cause and I gave them the funds.

I assure you that next year I would donate to your organization as now I do not have enough funds because of the economic slowdown. Every year I make it a point that I donate some amount and this year I donated that to ________ organization.

I am extremely sorry about this and hope that you get enough funds from others for your cause and wish you all success.

With best wishes,

Yours sincerely,
